Terms of Service

Last updated September 26, 2026

These terms are an agreement between you (the carrier or company using Lanebill, and the person accepting on its behalf) and Lanebill Account Services LLC (“Lanebill”, “we”, “us”). By creating an account, requesting a free review, or using the service, you agree to them. If you accept for a company, you confirm you’re allowed to bind it.

1. The service

Lanebill handles the paperwork and money side after a load delivers: we check load paperwork against the rate confirmation, prepare and send invoices, claim extras such as detention, lumper and truck-ordered-not-used fees, follow up on unpaid invoices, match payments and remittances, and keep connected accounting software in step. We use software, including AI models, to read documents; a person reviews anything unusual.

We act as your billing agent under the written billing authorization you sign when you join. We communicate with brokers, factoring companies, your dispatch and your drivers about paperwork and payment, in your company’s name.

2. What we don’t do

3. Your part

4. Free review

The free review looks at up to 10 recent loads and shows what may have been missed, rejected or short-paid. It’s an estimate from the paperwork you send, is offered at no cost and with no obligation, and doesn’t mean we’ll recover any amount.

5. Fees and payment

We invoice monthly in arrears. Invoices are due within 15 days. Fees don’t include taxes, which you’ll pay where they apply. We’ll give at least 30 days’ notice by email before changing our prices.

6. Your data

Your paperwork, billing records and business information stay yours. You let us use them to provide and improve the service for you, as described in our Privacy Policy. We keep them confidential, use them only for your account, and don’t sell them. We may use data that has been aggregated and stripped of anything that identifies you or any other person or company to understand and improve how the service works.

7. Confidentiality

Each of us will keep the other’s non-public business information confidential, use it only for this agreement, and protect it with reasonable care. This doesn’t cover information that is public, already known, independently developed, or that must be disclosed by law (with notice where allowed).

8. Our service and content

Lanebill, including its software, design and content, belongs to us and our licensors. You may use it for your own business while these terms are in effect. Don’t copy, resell, reverse engineer or try to get around its security. If you send us feedback, we may use it without owing you anything.

9. Connected services

If you connect other services, such as QuickBooks or a transportation management system, their own terms apply to them. You can disconnect them at any time. We aren’t responsible for services we don’t control.

10. Ending the service

There’s no long-term contract. You can stop at any time by emailing us, and you can end the billing authorization the same way. We may suspend or end the service if you break these terms, don’t pay, or use Lanebill in a way that puts others at risk, and otherwise with 30 days’ notice. Fees earned before the end stay payable, including Recovery fees on money collected from claims made while you were with us. When the service ends, you can ask for a copy of your records within 60 days.

11. Disclaimers

We work carefully, but the service is provided “as is” and “as available”. To the extent the law allows, we disclaim all implied warranties, including merchantability, fitness for a particular purpose and non-infringement. Documents can be unclear or wrong, and we can’t promise that every error in them will be found.

12. Limit of liability

To the extent the law allows, neither of us is liable for indirect, incidental, special, consequential or punitive damages, or for lost profits or revenue. Our total liability for any claim relating to the service is limited to the fees you paid us in the 12 months before the claim arose. These limits don’t apply to your payment obligations, a breach of confidentiality, or either party’s fraud or wilful misconduct.

13. Indemnity

You’ll defend and hold us harmless from third-party claims arising from paperwork or information you give us, or from your breaking these terms or the law. We’ll do the same for third-party claims arising from our breaking these terms or the law.

14. Governing law and disputes

These terms are governed by the laws of the Commonwealth of Virginia, without regard to its conflict-of-law rules. Any dispute will be brought only in the state or federal courts located in Richmond, Virginia, and both of us agree to their jurisdiction. Before filing a claim, each of us will first try to resolve it informally for 30 days after written notice.

15. Changes and general terms

We may update these terms. If a change is significant, we’ll email you at least 30 days before it takes effect; continuing to use Lanebill after that means you accept it. These terms, the billing authorization, and any written order form make up the whole agreement. If any part can’t be enforced, the rest still applies. Not enforcing a term isn’t a waiver. You may not transfer this agreement without our consent; we may transfer it as part of a merger or sale of our business. Neither of us is responsible for delays caused by events beyond reasonable control.
