Privacy Policy
Last updated September 26, 2026
This policy explains how Lanebill Account Services LLC (“Lanebill”, “we”, “us”) handles information when you visit lanebill.com, request a free review, create an account, or use Lanebill to run billing and collections for a trucking company. We keep it short and plain. If anything is unclear, email hello@lanebill.com.

For the load paperwork and billing records a carrier sends us, the carrier decides what we do with them, and we act on its behalf under our agreement and the billing authorization it signs. For our own website, sign-ups and account administration, we decide how information is used.
What we collect
Information you give us
- Website forms: your email, company name, MC or DOT number and fleet size when you ask for a free review or to get started.
- Your account: your name, email address and password (stored only as a secure hash by our authentication provider). Team members also set up a 2-step code.
- Your company: legal name, MC/DOT number, addresses, contacts, remit-to and factoring details, and the billing authorization you sign.
- Load paperwork and billing records: rate confirmations, bills of lading, proof of delivery, lumper and scale receipts, invoices, remittances, factor statements, and the emails and messages about them. These can include names, phone numbers and signatures of drivers, dispatchers, shippers, receivers and broker staff.
- Messages: what you and your team send us, and what brokers and factors send us about your loads.
Information we collect automatically
- Technical data: IP address, browser type, and the pages and actions used, kept in server logs for security and troubleshooting.
- Cookies: only the ones needed to keep you signed in and secure. We don’t use advertising cookies or sell data to advertisers.
- Email delivery data: whether an email we sent was delivered or bounced.
Information from others
- Public FMCSA records, to check the carrier details you give us.
- Brokers, shippers, factoring companies and your dispatch, when they send paperwork or payment details for your loads.
- QuickBooks, if you connect it, limited to what’s needed to keep invoices, payments and credits in step.
How we use it
- To provide the service: read and check paperwork, build and send invoices, claim extras, follow up on payments, match remittances and keep your books in step.
- To talk to you, your team, your drivers (through dispatch), and brokers and factors about your loads, in your company’s name and with your permission.
- To respond to review requests and questions, and to send service emails such as sign-in links, reports and notices.
- To keep the service secure, prevent fraud (including changes to where you get paid), and keep a record of actions taken.
- To improve accuracy for your account, for example by learning how a broker’s documents are laid out.
- To meet legal, tax and accounting obligations.
We use automated tools, including AI models, to read documents and suggest what they contain. A person reviews anything unusual before it reaches a broker, and decisions about your money are made by people or by rules you’ve agreed to.
How we share it
We don’t sell personal information and don’t share it for cross-context behavioral advertising. We share information only:
- To do the work you ask for: with the brokers, shippers, factoring companies and accounting systems your billing involves.
- With service providers who process it for us under contract: cloud hosting and database, file storage, email delivery, and AI document-reading services. They may use it only to provide their services to us.
- For legal reasons: to comply with law or valid legal process, or to protect the rights, safety and property of our customers, Lanebill or others.
- In a business transfer: if Lanebill is involved in a merger, acquisition or sale of assets, under the protections in this policy.
How we protect it
Each carrier’s data is separated from every other carrier’s at the database level. Files are stored privately and shared only through short-lived links. Connections are encrypted in transit, access for our team requires a 2-step code, sensitive integration credentials are encrypted at rest, and actions are logged. No system is perfectly secure, but we work to protect your information and will tell affected customers without undue delay if a breach affects their data, as the law requires.
How long we keep it
We keep account and billing records for as long as you use Lanebill, and afterwards for as long as needed for tax, accounting and legal purposes (generally up to seven years for invoices and payment records). Website review requests we don’t follow up on are deleted within two years. When you leave, you can ask for a copy of your records and for us to delete what we’re not required to keep.
Your choices and rights
You can ask to see, correct, download or delete your personal information, and you can close your account at any time. Depending on where you live, including California, you may have further rights under state privacy laws, such as the right to know what we collect and to not be discriminated against for using your rights. To make a request, email hello@lanebill.com. We will confirm who you are before acting on it. If we handle the information on behalf of a carrier, we’ll pass the request to that carrier or help it respond.
Children
Lanebill is a business service. It isn’t meant for anyone under 18, and we don’t knowingly collect information from children.
Where information is processed
We serve customers in the United States. Information is stored and processed in the United States. Some members of our team and some service providers may access it from other countries, under contracts that require it to be protected as this policy describes.
Changes to this policy
If we change this policy, we’ll update the date above. If a change is significant, we’ll tell customers by email before it takes effect.
